The mission of the Center of Southwest
Studies includes serving the local and regional community by offering tours
and presentations and by sponsoring meetings, speakers, seminars, receptions,
and conferences. A fee structure is established for use of the building
to offset expenses related to cleaning, maintenance, security, and
interpretation. The Center's Director reserves the right to waive or
reduce fees
for group usage that meets the educational mission of the Center.
Application to waive fees should be made in writing to the Director.
Non-academic use of the lyceum, the reception room, the gallery, the plaza level conference room, and the second floor conference room is reserved through the Director’s office, using form SW-89 (in addition to this form).

(hereinafter, the Center) to

Return of contract:
Dates requested by the Renter are not considered firm until the Center approves the event and the Renter
returns the signed contract accompanied by the deposit. Contract

Failure to comply means the Renter
automatically cancels arrangements made with the Center.
4.
Premises:
It is agreed that the Renter shall take the premises as he finds them and further that
the Center
assumes no responsibility for any property placed in the Facility.
Any discrepancies noted by the Renter
must be presented in written form, and be approved of and signed by the Center's
authorized representative (hereinafter Facility
Manager).
5.
Venue rental:
Renter agrees to pay the
Center for the use of Facility, the

. Funds are to be deposited in the Center’s Income Account

6.
Deposit:
Renter agrees to pay $

as a deposit with the return of this signed contract, which will be applied
toward rental charge in final billing.
7.
Cancellation by Renter: Should the Renter cancel the event
covered in this contract, no deposit refund shall be made, and Renter
also agrees to pay any reimbursable expenses incurred by the
Center in connection with the event covered by this
contract.
8.
Services provided: All expenses incurred by the
Center will be billed to the Renter.
9.
Damages: Renter
shall be responsible for the payment of any and all damages to the
building, furnishing, fixtures, or equipment whether caused by Renter
or his/her employees, agents, representatives or guests. Damage to the
premises shall be at the expense of the Renter.
10.
Staffing/ security: The
Center
shall obtain and the Renter
shall pay for all necessary staffing, including security.
11.
Event programs: The Center does not provide printed programs
for rental engagements. Any copy concerning the Center of Southwest
Studies printed in the program must be provided to the Director
prior to the event.
12. Control of building: The Facility shall be at all times under the control of the Building Manager.
13. Default: Should the Renter default in the performance of any of the terms and conditions of this contract, the Facility Manager at his/her option, may terminate the same. Any deposit made by the Renter to the Center shall be retained and considered as liquidated damages.
14. Parking: Parking is available near the Center of Southwest Studies building. Attendees must comply with all Fort Lewis College parking requirements, including paying for parking during hours in which that is required.
15. Catering/ soft concessions: Food and drinks will be allowed in designated areas of the Facility ONLY. Smoking inside the building is prohibited. All catering costs are the sole responsibility of the Renter (see attached Expense Checklist) and are to be handled through the Catering Director for the Sodexho/Marriott franchise at Fort Lewis College. 16.
Merchandise sales: No merchandise sales are permitted in the Center
without special arrangement with the Center's Director.
17.
Additional regulations: The Center
reserves the right to impose any additional rules or regulations, or to
set special rental and use arrangements, whether or not expressly provided
herein, which the
Center may be necessary to protect its interests, and
such regulations shall be binding upon the Renter.
