APPOINTMENT
TYPE: Temporary part-time (this
is a 12-month position, 10 to 16 hours per week, depending on
qualifications), exempt staff, subject to annual renewal by CASPR
contract.
LOCATION: Robert W. Delaney Southwest Research Library at the Center of Southwest Studies.
The primary ongoing responsibilities of
the Assistant College Archivist are to process Archives records and, as that
work is current, to contact other offices on campus and set up records
retention schedules, utilizing the
Fort Lewis College Records Management Manual and the mandates
established by the State Archives, as well as any unique needs of the
individual departments. This position reports to the Archivist at the
Center of Southwest Studies.
Primary Duties
Facilitates the efficient achievement of the College’s educational mission by promoting and supervising the application of economical records management methods and practices campus-wide.
Works with the College Archivist to identify, survey, appraise, store, access, preserve and dispose of the records of Fort Lewis College, by developing and revising College records retention and disposal schedules, by supervising their implementation, and by providing assistance and advice to the College community regarding file management and records systems.
Oversees the transfer of inactive records from departmental offices to records storage areas, and inventories inactive College records.
Arranges and describes the permanent records in the College Archives.
Interacts with College administrators and departmental personnel, students, faculty and other researchers to support their requests for records in the Archives, and performs other special collections library services such as providing reference assistance, and other information management tasks.
Serves as a liaison between the Center of Southwest Studies and the College community regarding Fort Lewis College records, and offers assistance in resolving problems related to the management of records.
May be asked to participate in public programming/ events promoting the Center and in partnership activities as a representative of the Center.
Required Qualifications
A foundational grasp of the major facets of archival work (appraisal and acquisition, arrangement and description, preservation and access) and of records management techniques and principles and procedures used in the retrieval, storage, and disposal of records.
Minimum of six months of experience in archival or records management work
Bachelor’s degree in a relevant area (or an equivalent combination of experience and education).
Strong organizational skills and attentiveness to details.
Ability to enter data accurately and speedily.
Ability to communicate effectively in writing and orally.
Ability to perform repetitive finger/hand/wrist tasks, neatly. Has neat handwriting and can touch-type at a speed of at least 60 words per minute.
Ability to lift boxes weighing up to 50 pounds.
Knowledge of Windows Operating System, Microsoft Outlook, Microsoft Word, and Microsoft Access software.
Ability to work as a team member without close supervision.
Able to set and meet deadlines and goals and follow through with tasks.
Good interpersonal skills for developing and maintaining positive relationships throughout campus with faculty, staff, and students; and off-campus with researchers.
Preferred Qualifications
One year of experience in archival arrangement and description, appraisal, accessioning, and reference services.
Master's degree in archival and records administration, history, information science, public history, public administration, or related field.
Certified Records Manager (CRM) certification and/or experience in developing records disposition and retention schedules.
Knowledge of the organization and operation of state institutions of higher education and their functions.
Salary
Minimum starting salary of $9.00/hour (depends upon work experience and education) with sick leave, annual leave and retirement benefits, but no health insurance benefits.
