RG 12 Office of Student Affairs

• Note: This office is administratively responsible for the divisions of College Union/Student Activities (RG 13), Security (Sub-group 13.S), Residence Life (Sub-group 13.M), Health Center (Sub-group 13.K), Counseling Center (Sub-group 13.F), Learning Assistance Center (Sub-group 13.O), Conferences and Summer Programs (Sub-group 13.E), and Career Services (Sub-group 13.D).

• Historical note: The title of Dean of Student Affairs was changed to Vice President for Student Affairs, by action of the State Board of Agriculture on May 9, 1979.  The following is the start of a listing of the individuals who have held this position:

• The Division of Student Affairs announced an administrative expansion on July 24, 2002, whereby a new position was added of Assistant to the Vice President for Student Affairs, with Bill Bolden, formerly the Director of Housing, filling that post.  His responsibilities include: Student Housing & Conference Services, Student Activities, Student Leadership, and Staff Development & Diversity Programming in Student Affairs.  In addition, he has been delegated the authority of the Vice President for Student Affairs , and will be the responsible administrator when the Vice President for Student Affairs is unavailable.  Two directors in the Division are the Director of Student Housing and Conference Services (Andy Sheston) and Director of Auxiliary Services (Brad Hitti).  In 2006 the Office added a Assistant Vice President for Student Affairs.

12.2    Reports, 1958, 1970-1972.  (includes the annual reports of the offices reporting to the Vice President for Student Affairs)

12.3    Vice President for Student Affairs records and correspondence, bulk 1958-ongoing (arrangement is chronological). Includes correspondence of the predecessor: Dean of Student Affairs, and records of the old Office of Auxiliary Services which was under the Dean of Student Affairs' direction in the 1960s and 1970s.  See also the minutes of this director's meetings.

12.4    Subject files (arrangement is alphabetical), bulk 1980s-1990s, in 4 document cases and 8 records boxes.  Subjects include Durango Lift bus service for campus; student health insurance records, including all of the College's student health insurance policies; etc. (although the Office of Student Affairs supervises student health insurance, that brochure is produced by the Health Center, so it is filed in Series 13.K.2).

12.5    Parents Weekend and Homecoming records and printed materials, 1919- present (bulk years 1949- present), in 1 document case, including Series 12.5 through12.10.  Includes records of the early Old Fort Lewis Visitors' Day and of the annual Welcome Week, and posters, leaflets, flyers, newspaper clippings, and other publicity.

12.6    Right Start Program records and printed materials, 1992-93. 

12.7    Publicity materials (includes newspaper clippings), bulk 1962-  (other than Parents Weekend and Homecoming events materials, which are in Series 12.5).

12.8    Student Conduct Guide, 1968-70, 1980, 1995, 1997. 

12.9    Campus Safety and Substance Awareness Guide, 1992- 2001. 

12.10    Student disciplinary files (confidential; closed to the public) (for indefinite or permanent retention)  less than .5 document case, 1955, 1973, 1979-1980, 1986-1990.

12.11    Student withdrawal files, 1990-1993, in 2 document cases.   This series is confidential; it is closed to the public; and these records are not for permanent retention.

12.12    Appointment books of the Vice President for Student Affairs.

12.13    Office of Judicial Affairs

• Historical note: this office, created in August of 2000, is responsible for the administration of the College's judicial system relating to student conduct under the Student Conduct Code.  According to Dr. Haeryon Kim (the second Coordinator -- the first was Cristina Grabiel, who left the position to become the Director for the Program for Academic Advancement) on 6/21/2004, the Office of Judicial Affairs existed before then, but the work was done by a faculty member until Dr. Glenna Sexton, the new Vice President for Student Affairs, created the Coordinator's position.  The person in this position was given additional duties effective early in the summer of 2004, to handle Equal Opportunity and Affirmative Action.  The Coordinator's title was changed to Coordinator for Judicial Affairs and Equal Opportunity as of May 17, 2004, and as of that date the individual in that position does two unrelated jobs.  As Coordinator of Judicial Affairs, the individual reports to the Vice President for Student Affairs.  As Coordinator of Affirmative Action/ Equal Opportunity, the individual reports to the President of the College.   Records pertaining to Equal Opportunity and Affirmative Action are maintained in Record Group 8.

• Historical note: formerly the I.D. Office in Miller Student Center.  The name change accompanied the office's move to move to a new location in the College Union Building, across the hall from the Post Office service window.  This is part of the College's move in late 2002 to the All Campus Card, an ID card system that also functions as a debit card for on-campus services such as laundry, vending, food, and bookstore purchases.
