Much of the reference use of the Fort Lewis College Archives is former employees' requests for verification of their employment here. To facilitate access to the personnel files in the Archives, we have placed on the Center's websites various lists of those files. Access to any file is restricted to those individuals who are authorized to have such access. This would include the employee, the staff of the Office of Human Resources, and the archival staff of the Center of Southwest Studies who manage these records. Per the Colorado Open Records Act, former employees may review their personnel files, under staff supervision, and make copies (at their own expense).
These lists are not, intended as proof of employment, nor can they be construed as such. Furthermore, please note that the years listed after each individual's name are simply the years of the records held in Archives; other administrative office on campus may have additional records, particularly those that relate to more current employment.
Search tip: go to the list that describes the appropriate category of employment, then do a keyword search of that page (if it is a list of employees) by using the Edit-> Find in Page (Ctrl+F) feature on your Web browser.
Personnel files in the Archives (collection M 001, unless noted otherwise):
Collection M 211, Series 1: Fort Lewis Indian school employees, 1892-1913. From photocopies of pages in two oversize ledger books at the National Archives (NARA)/ Rocky Mountain Region in Lakewood, Colorado. Each ledger contains page after page of employee details, which we have displayed online. Arrangement of entries in the original books at NARA is chronological. Arrangement of the data displayed on the Center of Southwest Studies web page is alphabetical by name of employee.
Series 11.C.2: Early Fort Lewis personnel records, 1915-1916 (filed with Dean Snyder's records for this period)
Series 11.C.7: Early Fort Lewis personnel records, 1911-1948
Series 14.2.2: Faculty and exempt staff employment records, ca. 1952-nearly current (also includes some records of current employees; the typical file includes the employee's application, academic transcripts, contracts, and correspondence and other materials documenting the individual's employment at Fort Lewis College) (on May 11, 1977, the State Board of Agriculture approved a definition of exempt positions and listed the exempt positions for Fort Lewis College. On May 13, 1981, the Board approved a policy for fringe benefits for non-Classified employees of the college)
Series 14.2.5: Employee leave records, ca. 1952-1957
Series 20.C.2: Terminated classified staff (retired, resigned, and deceased employees in the Colorado classified service; includes job applications, contracts, and related correspondence and other materials)
Series 20.C.9: Temporary and hourly employees (CASPR and/or CARF employment contracts)
Series 20.C.10: Employee personnel files, 1933-1962 (bulk 1946-1957; caveat: this cannot be construed as a list of all College employees for that period; in fact, many, if not most, of these files pertain to Fort Lewis students whose vocational training was being funded by the Veterans Administration through the GI bill)
Series 20.F.4.6: Payroll cumulative fiscal year end closeout financial data reports/ employee data reports (this series includes PAYHST pay history reports and PAYTOT pay totals, which were produced and bound together for the period from 1980 July 1 until 1991 when the College switched to an online data base; this series is the most comprehensive source for information on the earnings of Fort Lewis College employees--faculty and staff--since 1962)
20.F.4.7 Employee Earnings Records (summary of employee earnings and leave balances, from 1911 to 1962; includes employee ledgers, 1955-1962, filed alphabetically and retained permanently; these are pay stubs prepared by the Controller's Office prior to full automation of that system)
20.F.4.9 Payroll records (this series is a valuable source of data on individual employees prior to the implementation of the College's POISE database management system in 1980; this and Series 20.F.4.7 are the most comprehensive source for data on the earnings of individual Fort Lewis College employees)
