collections management database
available for free

 

 

Through an Institute of Museum and Library Services (IMLS) grant, the Center of Southwest Studies at Fort Lewis College has developed a Collections Management Database program that is available for free.  The current version of the program is 1.50.

 

Features of this database program:

 

  • Developed in Microsoft Access 2003
  • Based on accession / loan / item model
  • Items can be artifacts, books, photographs, digital images, archives, papers, etc.
  • Includes management of contacts/membership names, addresses, etc.
  • Includes exhibit management module, including exhibit labels
  • Includes collections module (overall description of collections; useful for producing a shelf list)
  • Includes image management of digitized items, exhibits, and contacts
  • Includes document management of records documenting accessions, loans, exhibits
  • Includes audit fields to track data changes
  • Database can be secured using Access security features
  • Full source code is included

 

This database is a work in progress.  Enhancements, new features, and bug fixes are periodically applied.
